KEY RESPONSIBILITIES
Tender Identification & Analysis
* Review and analyse incoming tender opportunities and requests for proposals (RFPs), requests for quotations (RFQs), expressions of interest (EOIs) and other procurement opportunities.
* Analyse tender documentation, specifications, scope of work, evaluation criteria,commercial requirements and submission conditions.
* Identify key tender requirements, mandatory documentation, technical specifications, commercial requirements and submission deadlines.
* Prepare tender compliance checklists and submission schedules.
* Identify potential risks, exclusions, ambiguities and clarification requirements within tender documentation.
* Escalate material risks, deviations or non-compliance issues to the Tender Manager.
* Assist with determining the feasibility and strategic suitability of tender opportunities.
Technical Proposal Development
* Develop technically compliant renewable energy solutions in accordance with tender specifications and customer requirements.
* Interpret electrical, mechanical and technical specifications contained within tender documentation.
* Assist with system sizing, technology selection and high-level solution development for solar PV, battery energy storage and associated systems.
* Develop technical descriptions, methodologies, equipment schedules, technical schedules and other proposal documentation.
* Coordinate technical inputs from Engineering and other relevant technical specialists.
* Ensure that proposed solutions are technically accurate, practical and aligned with applicable standards and regulations.
* Identify technical deviations and clearly document assumptions, exclusions and proposed alternatives where applicable.
* Assist in preparing technical responses to clarification questions and tender queries.
Tender Pricing & Commercial Submissions
* Coordinate the preparation of tender pricing in collaboration with the Tender Manager, Commercial, Procurement, Finance and relevant technical teams.
* Obtain and evaluate supplier and subcontractor quotations required for tender submissions.
* Compile bills of quantities, equipment schedules and pricing schedules where required.
* Ensure that pricing reflects the defined scope, technical requirements, commercial assumptions and contractual obligations.
* Identify cost risks, pricing gaps and potential commercial exposures.
* Assist with the preparation of commercial schedules, rate schedules, pricing breakdowns and financial information required for tenders.
* Ensure consistency between technical scope, pricing and commercial documentation.
* Support the Tender Manager with tender pricing reviews and submission approvals.
Tender Documentation & Submission Management
* Compile complete and professional tender submissions in accordance with tender requirements.

* Maintain a detailed tender compliance matrix throughout the submission process.
* Conduct final quality and compliance checks prior to submission.
* Ensure that submissions are correctly formatted, signed, packaged and submitted through the required procurement platform or submission channel.
* Maintain accurate records of submitted tenders and supporting documentation.
* Ensure all submissions are completed within prescribed deadlines.
Internal Stakeholder Coordination
* Coordinate tender inputs across Sales, Engineering, Procurement, Finance, Legal, Projects and other relevant departments.
* Clearly communicate tender requirements, deadlines and responsibilities to internal stakeholders.
* Follow up on outstanding information and documentation required for submissions.
* Facilitate effective communication between technical and commercial stakeholders.
* Escalate delays, risks or issues that may impact submission deadlines or quality.
* Participate in tender review and bid/no-bid discussions where required.
* Support the Tender Manager in coordinating internal tender review meetings.
Proposal Quality & Compliance
* Ensure all tender submissions comply with client instructions, specifications and submission requirements.
* Perform detailed quality assurance checks on technical and commercial proposal content.
* Verify consistency of information across technical, commercial and supporting documentation.
* Ensure that calculations, quantities, equipment specifications and pricing information are accurate.
* Ensure that proposed solutions comply with relevant legislation, standards, regulations, codes and client requirements.
* Maintain version control of tender documentation and ensure that only approved documents are included in final submissions.
* Identify and correct inconsistencies, omissions and errors before submission.
Proposal Development & Presentation
* Develop professional and compelling technical proposal content that clearly communicates company's's proposed solution and value proposition.
* Assist with the preparation of executive summaries, technical methodologies, project approaches and solution descriptions.
* Develop proposal schedules, diagrams, technical tables and supporting information where required.
* Assist Sales and the Tender Manager in tailoring proposals to specific customer requirements.
* Ensure proposals effectively communicate company's's technical capability, experience and value proposition.
* Support presentations and clarification meetings following tender submission where required.
Tender Clarifications & Post-Submission Support
* Coordinate responses to client clarification questions following tender submission.
* Obtain required technical, commercial and contractual responses from internal stakeholders.
* Prepare clarification documentation and revised proposal information where required.
* Maintain a clear record of all clarifications, amendments and correspondence.
* Support the Tender Manager during negotiations, presentations and post-tender discussions.
* Assist with the handover of successful tenders to Sales, Projects, Engineering and other relevant departments.
Tender Database & Reporting
* Maintain an accurate and up-to-date tender opportunity register.
* Record tender deadlines, submission status, opportunity values, outcomes and key milestones.
* Maintain a central repository of tender documentation and supporting information.
* Track tender submission performance and outcomes.
* Prepare regular tender pipeline and submission status reports for the Tender Manager.
* Analyse tender outcomes and identify trends, recurring issues and opportunities for improvement.
* Maintain a database of standard technical, commercial and company information used in tender submissions.
Continuous Improvement
* Identify opportunities to improve the efficiency, quality and consistency of the tender submission process.
* Develop and maintain standardised tender templates, checklists and proposal content.
* Maintain a library of approved technical, commercial and corporate proposal content.
* Conduct post-tender reviews to identify lessons learned and improvement opportunities.
* Keep abreast of developments in the renewable energy, solar PV, battery storage andenergy services markets.
* Remain informed of relevant tendering practices, industry standards and regulatory requirements.
